Job Description for EA Role:

The Associate responsible for ESS (Executive Support Services) and administrative tasks will be an integral part of a team, providing essential secretarial support to the senior management team at the global EY office. This role encompasses a range of responsibilities, including diary management, calendar coordination, travel arrangements, documentation, tool support, and other administrative duties as needed.

Essential Job Functions:

The primary responsibilities of this position include collaborating within a team environment to deliver ESS and administrative services, which encompass but are not limited to the following tasks:

  1. Diary Management: Assisting project team members in maintaining and organizing key project meetings and their respective locations.
  2. Calendar Management: Managing the project team’s calendar to highlight all important events requiring planning.
  3. Meetings Management: Coordinating and scheduling meetings or conference calls in close collaboration with project teams and stakeholders.
  4. Travel Management: Providing support to project team members in booking travel tickets.
  5. Workshop or Area Visit Planning: Assisting in planning workshops or area visits by handling logistics such as accommodations, meals, and printing materials.
  6. Documentation: Recording meeting minutes with a focus on key action points. Maintaining the project database and eRoom for organized document storage and easy access.
  7. Training Management: Supporting the setup of training sessions by sending invitations, managing cutoff points for training sessions, issuing confirmations, and providing pre-work materials to delegates.
  8. Tool Support and Administration: Offering administrative support for various internal and external tools used across the EY office.
  9. Data Processing and Administration: Capturing, processing, and managing business information.
  10. Transcription: Transcribing recorded meetings, events, conferences, etc.
